Appliance Age (applianceage.com, the Appliance Age apps and the Appliance Age API) is operated by Kanata Enterprises Inc., 200 - 100 Park Royal S., West Vancouver, BC V7T 1A2, Canada. This policy explains what we collect, why, who helps us process it, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act.
You can opt in to new recall emails through the private link delivered with your appliance report, without creating an account or receiving a second confirmation email. We retain the recipient email, report appliance details and consent record separately from registered accounts. The link in each alert lets you manage or stop those emails. Marketing is a separate optional choice; receiving a report does not subscribe you. When you save appliances from a shared report, we copy its appliance details into your account. Recall monitoring, monthly recall-status emails and promotional emails are separate optional choices. You can change these choices or unsubscribe in My appliances. We record your preferences and when they were changed; existing users are not automatically enrolled in monthly or promotional emails.
What we collect
- Appliance details you give us: brand, model number, serial number, appliance type, a manufacture date if you type one, and photos of rating labels.
- Results: the date we found, recall results, and your answer to “Is this date right?”
- Account details, if you create an account: your email address. Without an account you are given an anonymous visitor ID so we can keep your free checks and show your result.
- Appliance reports made in the app: your profile on the report (name, company, phone, email, website and logo), your client's name and email address, the property address and inspection date, photos of the property and appliances, and your notes.
- Reports you send us about a missing brand or a wrong result, including your name, verified account email, photos, appliance details, review notes and replies. We record approved contribution rewards and credit-funded lookups in an account ledger.
- API use: your API keys (we keep only a scrambled copy), the lookups made with them and monthly counts.
- Billing: if you pay for website or app lookups or API use, our payment processor (Stripe) collects your card details. We never see or store your full card number; we keep a customer reference and your subscription status.
- Support requests: your name, email address, selected topic and message, plus a visitor reference and daily hashed request identifiers used to limit spam. Google reCAPTCHA checks requests for automated abuse.
- Technical records: request logs kept by our hosting providers for security and troubleshooting, and crash reports from the app (device model, system version and what the app was doing when it stopped; not linked to your account).
We do not use advertising or tracking cookies. The site stores sign-in information in your browser so you stay signed in.
How we use it
- To find when your appliance was made and check it against public recall notices.
- To keep your checks, share links, API keys and usage if you have an account.
- To improve the accuracy of results for everyone. We keep a record of each lookup (brand, model, the year found and how it was found) and review results that look wrong. When a lookup finds no date, we keep a copy of its label photo so we can add the brand or fix how its serial is read. Reports you send are reviewed by people. With your permission, OpenAI first analyzes the submitted photos and details, compares them with our decoder and drafts findings and a reply for a reviewer. The AI does not automatically send replies, award credit or change decoding rules.
- To respond to support requests and prevent automated spam.
- To make your appliance reports and email them to the client you choose, with a link to the PDF and the online report.
- To bill app lookups and API use, and to prevent abuse, such as limiting the number of free checks.
- To publish overall statistics, which are counts only and never identify a person or appliance.
We do not sell personal information, and we do not use your photos or details for advertising.
Who helps us
These service providers process information for us, only to run Appliance Age:
- Google Cloud and Firebase (United States): sign-in, storage of checks and photos, and the servers that run lookups, plus reCAPTCHA spam protection.
- OpenAI (United States): reads the text on label photos and, with your permission, assists with investigating submissions. Photos sent this way are not used to train its models.
- Stripe (United States and Canada): payments for app lookups and API use.
- Twilio SendGrid (United States): sends sign-in codes, recall alerts, optional monthly recall updates, optional product news and offers, report emails to your clients, review updates and reply links, and contact-form messages to our support team.
- Our web host (Canada): serves the website.
- A service provider that maintains our appliance-rule database (Canada): receives reports you send so they can be reviewed, and serial-number patterns that need review.
Some of these providers store information outside Canada, where it may be subject to the laws of those countries.
Sharing
When you publish an appliance report, anyone with its link can see it; the link is sent to the client you chose. If you create a share link, anyone with the link can see that result. Shared scan text summaries mask most of the serial number, but data-plate photos may show the full number. Published appliance reports can include full model and serial numbers. You can stop sharing at any time. We may disclose information if the law requires it.
How long we keep it
- Unused active app scans and their photos are removed after three months. Archived scans and their photos stay until you delete them or your data. A small lookup-history record remains until you delete your data. Appliances saved in reports or your saved appliances, and website checks, stay until you delete them or your data.
- Photos sent to the API are deleted as soon as they have been read.
- Lookup records used to improve accuracy are kept while Appliance Age operates, and are deleted with your data.
- Support correspondence is kept as needed to respond and follow up on your request. You can ask us to delete it using the support form.
- Billing records are kept as long as tax law requires.
Your choices
- Delete a single check from your history, or all your Appliance Age data from your account page.
- Ask us for a copy of your information, or to correct it, by writing to support@applianceage.com. We answer within 30 days.
- Deleting saved Appliance Age data keeps your account login, existing billing details and records needed for billing. You can still sign in on the website and Appliance Age app.
Security and children
Information is sent over encrypted connections and access is limited to what each part of the service needs. Appliance Age is not meant for children under 13, and we do not knowingly collect their information.
